| New Hire Reporting Federal and State laws require employers to report newly hired and rehired
employees to a central registry. New hire reporting helps Tennessee Child Support Services
do two things: (1) locate parents who owe support, and (2) speed up the payment of support
through income withholding.
How to Report
Many reporting options are available. Report new hires via:
- Mail or fax. Send a Tennessee New Hire form or copy
of an employee's W-4 for each new or re-hired employee to:

- Magnetic tape or floppy disk. Call the Tennessee

Who to Report
You must report all newly hired employees in Tennessee.
This includes re-hired employees who return to the payroll after 30 calendar days. To
determine if someone qualifies as an employee, consult
the
Tennessee Code Section 36-5-1101(5).
When to Report
Employers are required to report within 20 days from date
of hire or rehire. If you report electronically or magnetically, report every two weeks,
but no later than 16 days from the date of hire or rehire.
Multi-state Reporting
To simplify the process for businesses with employees in
more than one state, federal law allows you to report all new hires to a
central
location. The following steps outline the multi-state reporting process:
- Choose one state to which you will report;
- Report electronically; and
- Submit a letter to the Secretary of Health and Human
Services at:

- Federal Employer Identification Number (FEIN);
- Company name;
- Address;
- Telephone number;
- State chosen to receive reports;
- List of states where you have employees; and

the numbers and names of the companies on a separate sheet.
